How RimLife DataTrans Works

There are 4 major steps in the RimLife DataTrans medical transcription process.

The doctor dictates into a system. This will usually be a handheld device or a digital recorder.

After each dictation or a batch of dictation, the audio files are uploaded to the doctor’s personal website portal, which will be assigned to him with his or her own username and password. All communications to and from the website server is done via 128 SSL encrypted transmission for maximum security.

The voice/data file is accessed via the web from our facilities and transcribed in the designated work pool in our facility.

The transcription process has several stages:

  1. The file is transcribed by an assigned team of editors and transcriptionists. This team will be permanently assigned to transcribe the particular physicians’ files to develop familiarity and consequently increase volumes and speed without sacrificing accuracy.

  2. After the file is transcribed by the transcriptionist it is checked by an editor.

  3. The file is then proof read by a Quality Control (QC) officer. We quality check all new work until we feel the team is stable – meaning it has reached a specified production level while maintaining the 98% accuracy benchmark all throughout. Once this has been reached the work will then be subject to Quality Assurance (QA) in place of Quality Control. Quality Assurance is a check on a sampling of the files to see to it that the levels of quality are being maintained.

The transcribed file is sent to the respective physician’s web portal within the specified Turn Around Time requirements of the client. There the doctor can view the report or have a nurse or secretary check it, and accept the transcription by electronically signing the document. The file can then be migrated into the doctor’s or hospital’s existing system.
